Southwell Holiday Cottages - Booking Policies

These policies form part of our contract with you. Any breach constitutes a breach of the contract between us.

CANCELLATION POLICY

If your stay is prevented by the Government imposing nationwide restrictions on overnight stays or restrictions that prevent us from opening our properties to general guests (such as those in the Covid-19 pandemic) then we will contact you as soon as possible after these are announced and offer a full refund (minus any payment charges incurred) for all nights where the restrictions apply.

In all other circumstances, if you have to cancel your booking with us you will receive a full refund (minus any payment charges incurred) if you cancel up to 14 days before the check-in date.  Unfortunately, any cancellations within 14 days of check-in will not qualify for any refunds.  We therefore strongly advise that you take out comprehensive travel insurance to cover you if a late cancellation becomes necessary.

 

We will not cancel your booking except in exceptional circumstances beyond our control. Notification will be given of the cancellation as soon as possible and we will promptly refund all payments made for your holiday. Our liability for cancellation will be limited to payments made to us.

RESERVATION POLICY

We require a 50% deposit to secure your booking, with the balance being payable 30 days before the holiday start date.  If you book with a start date of less than 30 days then the full balance is payable immediately and we will be in touch promptly to organise this with you.  

Check in is anytime after 3pm on the day of arrival.  Check out is anytime before 10am on the day of departure. 

 

Our properties are non-smoking throughout and unfortunately we are unable to accept pets.  Bookings cannot be accepted from persons under eighteen years of age and no parties at the property are allowed.  Anyone breaking these rules may be asked to leave the property immediately, with no refund due.

In making a booking you agree that you are occupying the property as a holiday let and it is not your main residence.  You accept responsibility for any theft, breakage or damage caused by you or any member of your party and agree to indemnify us in full for any loss that we may incur as a result.  Damage / breakages must be notified to us straight away.  The accommodation will be inspected at the end of your occupancy and you may be charged for any loss or damage found.  Please don't worry about the odd broken glass or plate - this is just to protect us in the event of more fundamental damage!  If damage / loss is so severe that we have to cancel other bookings, you will be liable for the resulting lost revenue to us.  We reserve the right to make a charge to cover additional cleaning costs if you leave the property in an unacceptable condition.

For fire safety reasons, candles and similar items are not allowed in the properties and the charging of vaping materials is not permitted. 
Young children must be appropriately supervised by their parents/guardians at all times.

 

We have external CCTV for security & monitoring purposes.

ELECTRIC VEHICLE CHARGING POLICY

​For the purpose of this policy an EV is any vehicle that uses electric motors, either fully or partially, to drive its wheels. It will derive some or all its power from rechargeable batteries which requires connection to the electricity grid (plug-in). This includes fully chargeable and plug-in hybrid cars, motorbikes, buggies, scooters, mopeds, bicycles, utility vehicles and tracked vehicles.

Domestic chargers are not permitted at our properties.  Most EVs are supplied with a domestic charger, commonly known as a 'granny charger' or a ‘trickle charger’. These cables recharge the EV using a domestic power source via a 3-pin wall socket.  Domestic chargers are not suitable for use in our properties as they create a fire hazard. The use of domestic chargers is strictly forbidden.  We retain the right to carry out reasonable inspection, on a without notice basis, to ensure that granny chargers are not in use in the Property.  You are solely liable for any damage or loss suffered by us as a result of your unauthorised use of domestic chargers.

Cedar Place has a dedicated charge point, accessible on the driveway.  

Authorisation for the use of the DCP during your stay must be made prior to Booking.  We reserve the right to withdraw this authority at any time and for any reason.  It is the user’s sole responsibility to supply a suitable charging cable to avail of the DCP.

DCPs are subject to fair usage and the following energy consumption charges:  34p Per kwh.  Such charges shall be invoiced to you on checking out. 

You must not use any splitting cables or modify the DCP in any way, or smoke in the vicinity of the DCP. We do not guarantee the availability of a DCP and unavailability of the DCP shall not constitute a breach of our Booking Terms.  Use of the DCP is at the owner’s own risk and we do not accept any liability for loss or damage sustained by you or your EV as a result of using the DCP unless the damage was caused directly by our negligence.  You shall be responsible to us for any damage to the DCP or loss suffered by us caused by your use of the DCP.

The Stables does not have on-site charging facilities and you must make your own arrangements for EV charging. The closest charge points to the Property are:

  1. Southwell Library car park, The Bramley Centre, King Street, NG25 0EH.

  2. BP Petrol Station, Upton Road, Southwell, NG25 0QB
